Project Description

The relief organisation with headquarters in Switzerland funds and carries out projects in Germany and abroad. The software used for project management no longer met the demands, which had increased over the years, and was to be replaced by a new, easier-to-use program.The organisation commissioned Innobrain with the creation of requirement specifications, the subsequent vendor search and the evaluation of suppliers. To ensure a high level of acceptance of the new solution, it was deemed important to also involve the employees in the foreign branches.

In a first step, Innobrain led individual interviews with representatives of different target groups to assess the requirements for the future solution. A systematic analysis of the work processes ensured that important previously used features were part of the specifications. Two workshops were held to review the assembled requirements with the representatives of the target groups, which were finally supplemented and summarised in specifications. The technical requirements and restrictions from IT were also considered. Innobrain created the evaluation form for a structured and systematic evaluation of suppliers on the basis of these specifications. From a list of fifteen vendors, seven potential suppliers were identified and requested to make an offer. Three vendors were invited for a product presentation. Thanks to this structured approach and the clear prioritisation of the requirements, one of the products was declared the “winner” within a short time. To the great satisfaction of all parties, all deadlines were met and the budget provided for the evaluation wasn’t even fully utilised.
